Switchboard Technician, Facilities & General Services
DUTIES: This position presents a professional and pleasant attitude to AFSCME members, vendors, and staff who call into AFSCME’s main phone number. Receives and routes phone calls in a timely manner; maintains the phone system, voice mail system, call accounting system, and edits and maintains a list of active phone numbers in the telephone system. Receives all incoming calls to AFSCME's general telephone system. Ascertains caller's needs and directs call to the appropriate department or staff person, including distributing nightly recorded messages. Process requests for messenger service. Maintains telephone systems (located 1625 L Street, NW and 1101 17th Street, NW) by executing changes such as: phone number changes, additions and deletions, etc., to the phone system via the SAT computers. Maintains and updates published telephone listing monthly. Identifies telephone system problems, identifies location of problem and takes action to resolve them either in the system or with the appropriate vendor. Maintains an equipment inventory, maintains equipment and performs maintenance and repairs to equipment. Is responsible for ordering phones and managing the leased phone equipment to ensure all equipment is up-to-date and working. Orders new DID phone numbers, 800 numbers, new phone lines and maintains a list of critical phone lines within AFSCME. Maintains an accurate list of calling cards and requests new or cancels cards as directed. Records after-hours greeting message on the phone system and changes the message to reflect accurate hours for holidays and weather-related changes. Ensures the after-hour greeting is on every evening. Circulates monthly departmental charges, including long distance charges. Issues department phone reports as requested. Screens department phone calls, takes and distributes messages to staff. Handles routine requests for information. Receives, organizes, stamps and logs (if applicable) incoming mail for the department. Reviews phone bills and calling card bills for accuracy to ensure all charges are correct. Prepares weekly timesheets for the department for management’s approval. Prepares letters, memoranda, spreadsheets, and other documents for General Service’s staff. Performs related duties as assigned.
REQUIREMENTS: High school graduate and a two-year college degree as well as three to five years experience in an office or switchboard environment or any equivalent combination of education and work experience that provide the following knowledge, skills and abilities. Knowledge of current phone systems and the ability to operate telephone system equipment, including performing routine maintenance on system. Knowledge of local and long distance service providers. Knowledge of AVAYA Office IP system and AVAYA Definity, Micro Call Accounting System, and Intituity Audix Voice Mail System. Typing ability of 50 wpm. Ability to operate telephone system related computer equipment. English skills sufficient to proofread typed documents. General knowledge of AFSCME organizational structure. Knowledge and experience with Microsoft Office products. Knowledge of general office procedures. Incumbents may be required to physically install, remove or maintain telephone equipment located in individual work stations requiring, kneeling, bending, crawling or stooping.
