DUTIES: Provides general office support to the department and supports the Assistant Director and other professional staff.  Provides mass production typing that includes finalizing letters, fact sheets, reports, spreadsheets, testimony and other documents as assigned using MS word, Excel and Power Point as well as Outlook email system.  Prepare letters for members of Congress, AFSCME small and large leaderships, rank and file members as well as other unions and coalitions. Schedules meetings with members of Congress for the management staff, lobbyists and other AFSCME Departments when necessary.   Involves frequent communication with federal officials and AFSCME Leaders.  Answers incoming telephone calls for the department and assists as backup for other support staff.  Handles routine information requests, screens and routs calls and delivers messages.  Processes a variety of forms and requests for department staff, including Travel and Advance Authority forms and placeholder requests for seating at congressional committee meetings.  Maintains an accurate and accessible filing system, including updating files at the beginning of each new Congress.  Retrieves files for information upon request by staff.  Assemble and mail requested materials and publications to AFSCME affiliates and other organizations when requested.  Assists in opening and distribution of mail.  May provide other support duties as required.

REQUIREMENTS: Graduation from an accredited high school or equivalent and 3 to 5 years experience in office support functions, word processing and document production.  Thorough knowledge of MS office software; experience with Access, Power Point and Excel preferred.  Knowledge of office equipment such as copying, AT&T 8434 telephone and fax machines.  Must be able to work under pressure to meet very tight deadlines.  Knowledge of Capitol Hill and the U.S. Congress is highly preferred.  Overtime may be required on occasion.  Be able to type 40-45 wpm and demonstrate knowledge of formatting letters, memoranda, grids and other complex reporting documents.
