Incumbent provides general office and administrative support on department projects requiring a high degree of organizational skills. Performs a variety of functions requiring attention to detail, discretion and knowledge of department policies and procedures. Supports the development and management of budgets. May perform some or all of the functions listed below; amount of time spent on each activity may vary.
DUTIES: Assist with departmental and project budget tasks including assembling and reconciling office budget submissions and producing documents using Excel or other spreadsheet software. Collect, review and reconcile invoices for payment. Compare against source documents or records to ensure payments are appropriate and services were rendered. Log into database, prepare and forward for approval and processing. Coordinate with appropriate staff and other sources to determine costs and write justifications for expenditures. Coordinate the collection and preparation of reports and monitor budget expenditures. Maintain and prepare simple to complex summary reports, schedules and statistical information using spreadsheet applications. Monitor, track and reconcile capital project budgets. Support the Director with lease abstracting and tracking. Create and maintain a database of all leases and key information. Recognize pertinent information, collect and analyze data; develop databases and spreadsheets to produce reports. Develop and maintain a database for tracking inventory of cell phones, furniture and equipment. Monitor and analyze current cell phone plan for better efficiencies. Support the Director with inventory of field offices, serve as initial contact/reference person for the department. Make policy interpretations in order to carry out department job functions. May contact other departments and regional/area offices to obtain additional information. Assist with a work order tracking system for Facilities and General Services. Assign work order and monitor through completion. Generate weekly and monthly reports. Keep on-line calendar of employees approved leave for tracking and coverage. Receive and screen incoming requests via mail and/or telephone. Route calls or take and deliver messages. Place calls as requested. Organize, log (if applicable) and resolve issues with minimal supervision. Assist as backup for other support staff. Review and answer general correspondence for the Director and make necessary decisions required to ensure timely completion of the departments’ objectives and projects as required. Sort, store, retrieve and maintain files. Maintain inventory of print logs and other materials stored in-house and off-site. May process a variety of forms for department staff. May be required to perform other related duties as assigned.
REQUIREMENTS: High school graduate or equivalent and five to seven years of office experience, or combination of education and experience. Must have a broad knowledge of office and organizational procedures with English skills sufficient to proofread for spelling and grammar, and compose simple correspondence, effective analytical and communication skills in an oral and written manner, effective interpersonal skills to interact with staff at various levels of the organization and effective understanding of accounting principles to perform simple calculations, reconciliations, and comparative analyses. Requires the ability to identify and interpret policies and procedures, handle multiple tasks while working with minimal supervision, to manage time effectively to meet deadlines and ability to type 55-60 wpm. This position requires an effective knowledge of PC operations and spreadsheet and data retrieval software along with a high degree of organizational skills, accuracy and attention to detail. Periodic overtime and some travel may be required.
