This position processes, reviews and inputs a variety of financial and accounting transactions according to Union and department policies and procedures.  Uses one or more accounting software systems, spreadsheets and word processing software to perform required tasks.  Additional duties will include:

Duties:           

  • Receive and analyze incoming payroll mail to determine appropriate payroll action to be taken.
  • Receive and review Personnel Action forms and performs calculations and follow-up issues or discrepancies.
  • Initiate phone calls or routine correspondence to clarify payroll issues.
  • Calculate gross salary, federal and state withholding taxes in compliance with applicable tax regulations, and deductions.
  • Calculate adjustments when manual check is required.
  • Record and maintain logs of tax adjustments and non-payroll transactions.
  • Performs analyses and reconciliations of payroll system information, wires and vouchers to ADP schedules, GL & Bank Reconciliations and other accounting and HR systems.
  • Input payroll actions into automated payroll system and reviews output reports to determine accuracy of information.
  • Issue vouchers for manual checks, payroll advances and replacement checks and subsequently enters applicable information into the computerized payroll records.
  • Transmits and previews payroll at closing.
  • Prepare vouchers to fund payroll bank accounts and make payments based upon payroll deductions.
  • Issues vouchers for all voluntary deductions.
  • Sort and prepare for distribution all payroll checks and EFT deposit advices.
  • Answer telephone requests and letters of inquiry from offices and employees.
  • File all payroll action documents.
  • Prepare worksheets for analysis and review.

REQUIREMENTS: 

Education & Experience:

  • High school graduate or equivalent and one year of bookkeeping or accounting coursework at the college level, and a minimum of three (3) years of experience in an accounting environment performing a variety of tasks or any combination of education and experience that would provide the necessary knowledge, skills and abilities will be considered.
  • Accounting degree preferred.

Skills: 

  • Ability to handle multiple tasks while working with minimal supervision; manage time effectively to meet deadlines and be self-motivated to learn and take on new tasks and responsibilities.
  • Demonstrate a high degree of organizational skills, accuracy, attention to detail and workflow output.
  • Demonstrate the ability to communicate effectively and professionally with co-workers, management and others external to AFSCME.
  • Proficiency with a personal computer, 10-key calculator and in the use of Microsoft Office, with an emphasis on Excel, Word and Access.
  • Experience using PC accounting software.
  • Experience with the use of Microsoft Dynamics GP accounting software and ADP software is desirable.
  • Occasional overtime may be required
