AFSCME Council 28 is recruiting an Administrative Assistant for our Advocacy Department. This position reports to the Director of Advocacy. The Administrative Assistant provides high-level support to the Director and Labor Advocates. This position handles all administrative functions of the office, assists with the daily operations, and works with the Associates, Labor Advocates, and the Director of Advocacy to accomplish their goals.

Essential Functions

Supports the Director of Advocacy in daily administrative activities and acts as a resource to office Associates in responding to member’s requests and/or complaints. Manages calendars, sets up meetings and locations, and takes notes of meetings on behalf of the Director. Prepares all personnel and payroll documents such as activity reports, and staff expense vouchers for the Director’s review and signature. Offers guidance for writing proper correspondence on behalf of Labor Advocates. Updates the Director’s quarterly report to the Executive Board.

Prepares and transmits notifications to state and other officials to ensure compliance with contractual and other legal requirements. Tracks timeframes for communicating the next steps in the process to ensure timely decisions, processing, and closures as appropriate.

Receives mandatory notices and distributes them in a timely manner, based on the appropriate contract(s). Creates and tracks notices in the Clio Platform. Creates surveys in Survey Monkey for Labor Advocates, bargaining, etc. Handles bargaining team nominations and elections using the guidelines set by the Collective Bargaining Committee. Pulls and sorts out contract proposals for each bargaining table. Works with each bargaining table’s Lead Negotiator on tracking bargaining contracts. Works with the Lead Negotiator and the Communications Department on contract ratifications and notifications.

Serves as the organization's contact person for the Labor Power Grievance Tracking System. Ensures proper contracts and other legal documents are uploaded into LP and proofread before release to field staff for entry. Serve as a resource to field staff to answer questions and resolve issues. Works with the Labor Educator to prepare instructional materials to be used by field staff. Monitors and manages our platform subscriptions. Serves as the backup for the Associates, filing Demand to Bargains, scheduling meetings, etc. Other duties as assigned.

Required Qualifications:

  • Five (5) years of progressively responsible experience in office/clerical, secretarial, or general administrative work.
  • Knowledge and experience in office machines, Microsoft Office Suite, business management practices, and research methods.
  • Highly organized and capable of juggling multiple projects simultaneously.
  • Strong oral and written communication skills.
  • Ability to work under pressure.

Desirable Qualifications: 

  • Strategic Research – literature review, survey development, data collection, data analysis. Ability to create and complete corporate or agency profiles based on corporate strategic organizing principles.
  • Data Analysis – familiarity with Tableau, and Survey Monkey.
  • Data Visualization – Adobe Photoshop, Publisher, SharePoint, PREZI, etc.
  • Understanding of basic labor organizing principles and working experience in a Union.
  • Excellent interpersonal skills
  • Ability to work independently.

Special Note:

It is expected that selected candidates must live within Washington state. This position is eligible for overtime and may be required to work some weekends. Some travel may be required. This position is fully remote. Excellent benefit package includes a $150 monthly cell phone allowance, vacation, and sick leave, medical, dental, life, and long-term disability insurance, 401K, pension, and (12) twelve paid holidays. The salary range is $57,156 to $66,164 and will be determined commensurate with experience.
