What We’re Looking For:

The Washington Federation of State Employees (WFSE) is recruiting to fill the position of Coordinator of Executive Services. This is a critical position that provides confidential, high-level support to the Executive Director and assists with the daily operations within Headquarters. This position manages the scheduling for the Executive Office.  Provides input on organization issues, policies and programs. May communicate with and serve as liaison with the Governor’s Office, Labor Relations staff and agency officials regarding communications with the Executive Director.

Prepares correspondence for the Executive Director’s signature and may be granted authority to sign on their behalf. Responsible to schedule, coordinate and prepare materials for Executive Board meetings and Executive Committee, which includes agenda preparation, pre-notification to board members, scheduling pre-meetings, research needs, preparation of proposals and cost estimates; resolution tracking and follow-up; coordinating preparation of Board minutes and Committee minutes in collaboration with various internal staff assigned to support Committees of the Board.  Maintains official record of Board activities, actions and decisions.  Reviews and approves Board expenditures and vouchers per policy.

Responsible for the planning, coordination and delivery of Council-wide conventions, conferences and trainings, including financial and contractual commitments. Tracks actions including publishing approved minutes and approved amendments to the Council 28 Constitution. Responsible for planning and coordination of the Council’s participation in the AFSCME International Convention. Responsible for preparation for Policy Committee meetings.  Assists in resolving issues affecting dates, location, delegate strength, constitutional amendments, and election process.

Additional duties include:

  • Coordinates and implements annual leadership calendar for planning of events, conferences, and trainings.
  • Oversees the Council Scholarship Program, including notification, submission, selection and award.
  • Makes decisions on appropriate venues including cost considerations, locations, and contract requirements that financially obligates the organization in the use of venues and services.

Required Qualifications:

  • Three (3) years of senior level executive program experience involving a wide scope of complex duties and responsibilities at the highest levels of an organization.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple, often competing priorities in a fast paced environment.
  • Strong computer, recordkeeping and organizational skills are required. 
  • Alignment with union values of democracy and justice for the whole worker.
  • Experience collaborating with staff, setting priorities, and utilizing project management tools.
  • Proven ability to maintain confidentiality.
  • Promotes and models professionalism.

Desirable Qualifications:

  • Bachelor's Degree with equivalent to five years of progressively responsible administrative experience in a union environment. 

Special Note:

As a condition of employment, candidates who accept a position will be required to provide proof of completing their COVID-19 vaccination. Additionally, it is expected that selected candidates live within commuting distance of their assigned work location. This position is overtime exempt and may be required to work some weekends. Some travel may be required. Benefits include annual and sick leave, cell phone allowance, medical/dental, life, and long term disability insurance, and holidays. Salary range is $78,143 to $90,469 and will be determined commensurate with experience.
