Provides direct assistance and advanced administrative support to the Executive Assistant to the Secretary-Treasurer, as well as supporting the overall function of the Secretary-Treasurer’s office. Involves significant public contact and requires the ability to handle sensitive, confidential and controversial matters.  Relieves the Special Assistant to the Secretary-Treasurer of routine administrative details, such as: setting up meetings, monitoring departmental submissions for the International Executive Board as well as other activities, including review of documents for accuracy, conforming to departmental policies and standards.

 DUTIES:       

  • Makes appointments and maintains schedules for the Executive Assistant to the Secretary-Treasurer and on occasion the Secretary-Treasurer. Makes reservations and travel arrangements as required for AFSCME business. Prepares expense reports following travel.
  • Composes and types routine correspondence, notices and other material. Proofreads Secretary-Treasurer’s office correspondence. Formats the Secretary-Treasurer’s speeches for delivery.
  • Establishes and maintains filing systems.
  • Monitors the Secretary-Treasurer’s Online Resource Center and facilitates inter-department communication for expedited follow up. Works with the digital team in Communications for updating the site regarding reporting deadlines and training resources.
  • Assists the Executive Assistant to the Secretary-Treasurer on the coordination of the Jerry Wurf Memorial Fund projects and grantees. Responsible for coordinating the Wurf Fund Advisory Committee meetings, preparing minutes and ongoing communication with the group.
  • Maintains Harvard Trade Union Program and Harvard Kennedy School databases.
  • Assists Accounting department with the Fallen Heroes Fund to distribute gift cards to affiliates, monitor Fund usage and track compliance with fund rules and policies.
  • Assists in the preparation of the annual Secretary-Treasurer’s office budget. Monitors budgetary expenditures and files appropriate reports on a timely basis.
  • Prepares EAFs, APTs and other budgetary items on a timely basis. Reads and routes incoming mail; locates and attaches appropriate file to correspondence to be answered.
  • Makes assignments to departments for action on or response to requests for reports, materials or meetings. Prepares responses independently for superior's review or approval.
  • Greets visitors, ascertains nature of business and escorts visitors to appropriate persons or meetings. Screens and refers callers. Answers various inquiries and provides information on services and functions of the union and its departments.
  • Sets up and maintains office and support functions at conventions and executive board meetings. Provides support to and monitors communications for AFSCME officers, executive staff, International Vice Presidents, department heads and other participants involved in these meetings.
  • Maintains IEB databases. Reviews PEOPLE reports for accuracy before submission to the Secretary-Treasurer for approval. Prepares and submits LM2 and Lobbying Disclosure reports. 
  • Performs related work as required in support of Executive Office and other duties as assigned.

 REQUIREMENTS: 

Education and Experience

High school graduation with supplemental courses in word processing, database and spreadsheet software programs, and office management subjects or any equivalent combination of education and experience.  Five to seven years of progressively responsible prior office experience. Work requires initiative, independent judgment, attention to detail and discretion in the completion of various clerical duties.

Skills

  • Thorough knowledge of business English, arithmetic, and modern office practices, procedures, methods and equipment.
  • Advanced computer skills and familiarity with Microsoft Office, Zoom and other software utilized by AFSCME.
  • Excellent communications skills including both oral and written. Ability to establish and maintain effective working relationships with superiors, other employees, union leaders and staff and the general public.
  • Knowledge of AFSCME and the broader labor movement.
  • Ability to make independent decisions in accordance with policies and procedures.
  • Ability to maintain complex clerical records and prepare accurate reports from such records.
  • Ability to understand and quickly and accurately follow written and oral instructions.
  • Ability to type 65 words per minute.
  • Ability to travel and work extended hours as needed.
