This position provides intermediate-level clerical, administrative support and related work as required to the department. 


  • Review and process all TAs. Maintain log and provide details as needed.
  • Prepare correspondence, reports and other office forms from draft to final form, paying attention to details, proofreading for accuracy and editing, when necessary. Prepare and/or receive confidential documents, using discretion. 
  • Prepare routine or simple correspondence, with attention to grammar and punctuation.
  • Review and process correspondence from President’s office and enter information into database. Upon Directors’ review, forward letters to appropriate field manager, as directed.  Closely track and monitor time-sensitive correspondence from field managers, distributing letters, when required, and close file upon resolution.
  • Maintain and prepare simple to complex reports in spread sheet applications such as Access, Excel and Word. Produce letters for mass mailings with Excel and Access databases using Mail Merge.  Occasionally, create, format and/or alter PowerPoint presentations to meet specific needs. 
  • Work with Administrative Assistant, and Meeting and Travel staff, by coordinating and following up on details and logistics of current and upcoming events.
  • Prepare materials for trainings, such as stuffing binders, producing tents and badges, packing supplies and mailing boxes to training site. Provide on-site support at trainings, occasionally traveling by air or train. 
  • Sort, store, retrieve and maintain files.  Review correspondence and reports and determine what information should be cross-filed.  Set up new files and process files that require archiving.
  • Answer incoming calls for the department, screen calls, route calls or take and deliver messages. Place calls as requested. Handle routine requests for information.
  • May be required to perform other related duties as assigned.


Education & Experience:

  • High school graduate or equivalent and
  • Minimum three years of office support experience plus general knowledge of office and organizational procedures or any combination of education and experience.


  • Thorough knowledge of the MS Office suite – Outlook, Word, Excel, and Access
  • The ability to use cloud base databases
  • Basic knowledge of office equipment
  • Knowledge of office practices and procedures
  • Knowledge of grammar, spelling and punctuation to proofread and compose correspondence
  • Proficiency in the use of word processing, database and spread sheet softwares;
  • Ability to perform simple mathematical computations
  • Ability to type 40 - 45 wpm
  • Communication skills sufficient to exchange routine information
  • Ability to establish and maintain effective working relationships with employees
