This position is responsible for performing a variety of accounting functions within multiple sections of the Accounting Department. Processes, inputs, reconciles and analyzes a variety of financial and accounting transactions and information ranging from simple to complex according to Union and department policies and procedures.  Uses one or more accounting software systems, spreadsheets and/or word processing software to perform required tasks.  Prepares and works with complex worksheets that are developed from source documents and accounting data systems for analysis and reporting.  Creates schedules, reports and analyses for review by supervisory staff.  Communicates with vendors and staff by telephone, email and memos. Maintains records, logs and files of transactions and activities. 

 DUTIES

  • Process disbursement checks against Federal and Non-Federal Bank accounts, computer and manual.
  • Process check inquiries and stop payments.
  • Review and key journal entries into the PEOPLE General Ledger.
  • Prepare general journal entries for transactions made from the PEOPLE bank accounts.
  • Perform reconciliations of PEOPLE bank accounts.
  • Input data into FEC filing software for FEC Form 3X, Form F24 and F99 filings.
  • Provide monthly detailed analysis on various accounts for PEOPLE Department.
  • Maintain security of
  • Match, batch and log incoming checks and support documents.
  • Reconcile and report any discrepancies found in receipt data across multiple systems.
  • Prepare and maintain audit schedules and account activity reports for state reporting.
  • Compile and organize PBC documents for year-end audit requests.
  • Prepare daily deposits to PEOPLE bank accounts and input cash receipt transactions into the PEOPLE accounting system.
  • Prepare the daily batch log and create the Jira tickets.
  • Review the FEC report for data accuracy before filing.
  • Prepare monthly financial and IEB reports of the PEOPLE Committee activities.
  • Perform special projects and assist other General Ledger staff as assigned.

REQUIREMENTS: 

Education & Experience:

High school graduate or equivalent and one (1) year of bookkeeping or accounting coursework at the college level and a minimum of five (5) years of experience in an accounting environment performing a variety of tasks or any equivalent combination of education and experience which provides the following knowledge, skills and abilities:

  • Ability to handle multiple tasks while working with minimal supervision; manage time effectively to meet deadlines. and be self-motivated to learn and take on new tasks and responsibilities.
  • Demonstrate a high degree of organizational skills, accuracy, attention to detail and workflow output.
  • Demonstrate the ability to communicate effectively and professionally with co-workers, management and others external to AFSCME.
  • Proficiency with a personal computer, 10-key calculator and in the use of Microsoft Office, with an emphasis on Excel, Word and Access. Experience using PC accounting software.
  • Experience with the use of Microsoft Dynamics GP accounting software and ADP software is desirable. Occasional overtime may be required.
