This position provides intermediate clerical and administrative support for the Membership Services Division of the Data & Analytics Department and provides clerical support for special projects.

DUTIES:          

  • Answer incoming calls for the department and membership hotline, route calls, takes and delivers messages.
  • Track member calls in online tracking tool.
  • Update officer data submitted from affiliates into Unionware Database based on verification of terms and officer titles in constitution.
  • Maintain files of processed and pending officer activity using online tools.
  • Mail member cards upon request.
  • Assemble materials for monthly officer expiration listing sent to affiliates.
  • Create and maintain contact list of affiliate staff to send officer expiration reports.
  • Work with Member Data Assistant to resolve Officer synchronization issues in affiliate hosted Unionware systems.
  • Annually purge officer information so that a five-year history is maintained in-house.
  • Prepare appropriate records inventory for sending documents to Labor History Archives.
  • Process incoming delegate and alternate delegate credentials received for the International Convention and special conventions, including coding credentials using established coding system, scanning and filling credentials.
  • Process and track requests for replacement convention materials.
  • Send emails to affiliates identifying issues with delegate and/or alternate credentials using template language.
  • Serve as backup for membership rebate processing.
  • Process incoming departmental mail in absence of work group members.
  • May be required to perform other related duties as assigned.

REQUIREMENTS: 

Education & Experience:

High school graduate or equivalent and a minimum of three (3) years of office experience plus general knowledge of office and organizational procedures or any equivalent combination of education and experience which provides the required knowledge, skills and abilities:

Skills:

  • High level proficiency in MS Office Suite, especially MS Access, as well as other databases.
  • Ability to use MS Outlook, including the calendar program, and perform accurate data entry into databases.
  • Excellent knowledge of office and organizational procedures.
  • Basic knowledge of office equipment such as reproduction, telephone and fax machines.
  • Must be able to independently complete assignments and work under pressure to meet tight schedules.
  • Sufficient written and oral communication skills to exchange routine information.
  • Strong ability to proofread documents and compose correspondence.
  • Communication skills sufficient to exchange routine information.
  • Ability to establish and maintain effective working relationships.
